Independent Contractors are individuals who provide services to Filmhub on a project-by-project basis. These contractors are not considered employees of the company and are typically paid a negotiated fee for their work. Hiring independent contractors for special projects can be a cost-effective and efficient way to bring in specialized skills and expertise for a temporary period.
However, navigating this process carefully is essential to ensure successful project outcomes and legal compliance. Here are some guidelines to follow when hiring independent contractors for special projects:
- Define Project Scope and Requirements
- Clearly define the project’s scope, objectives, and deliverables. Ensure that your expectations are well-documented to avoid misunderstandings later.
- Determine Budget, Timeframe, and Payment Terms
- Set a budget and timeframe for the project and establish clear payment terms. This includes rates, payment schedules, and any expenses or reimbursements.
- Budget Approval
- After outlining the project scope, timeframe, requirements, budget, and payment terms, the department head should seek approval from our CEO to hire an independent contractor for the special project.
- Hire an Independent Contractor
- Once your request for hiring an independent contractor is approved, start the hiring process:
- Look for independent contractors through referrals, online job boards, or professional networks. Review their portfolios, resumes, and work samples to gauge their expertise.
- Conduct interviews to assess the contractor’s skills, experience, and communication abilities. Ask about their relevant project experience and how they plan to approach your project.
- If you are ready to hire an individual contractor, send all the necessary info (see guidelines here: ) to @Untitled so she can send out the agreement and onboard the contractor via Rippling.
- Timeline and Milestones
- Establish a project timeline with clear milestones and deadlines. Regularly review progress to ensure the project stays on track.
- Communication and Reporting
- Define communication channels and frequency of updates. Determine how the contractor will report on progress and address any issues that arise. Establish a process for quality control and provide feedback as necessary throughout the project. Address any concerns promptly to avoid misunderstandings.
- Payment and Invoicing
- Independent contractors are paid twice a month, following Filmhub’s standard payment schedule
- On the 15th of each month
- On the last day of each month
- Contractors are required to submit their invoices on the 3rd of each month (for the period from the 16th to the last day of each month) and on the 18th of each month (for the period from the 1st to the 15th of each month)
- Contractors can use the following template for invoicing:
- The Department Head should review and approve the payment by the 5th and 20th of each month. Once the invoice is approved, please forward it to @Untitled for payroll processing.
