Updates
Filmhub uses Google Workspace, which includes these tools:
- Google Sheets for spreadsheets - used only when a database in Notion does not suffice, for example, for complex formulas
- Google Slides for presentations
- Google Drive to store desktop files, like received PDFs or Excel workbooks (.xlsx)
Desktop Apps
- Approved Desktop Apps (to comply with special third-party requirements in roles like sales, finance, and legal):
- Microsoft Excel
- Microsoft Word
- Your manager will tell you if you need these apps.
- @Untitled must approve the use of new desktop apps.
Team Folders
Filmhub teams each own a Shared folder. All files used within a team are stored within its folder. You will get access to the necessary folders. If you don’t have access, please reach out to @Untitled in the #help-it Slack channel.
- Do not create or store files outside your Shared team folder
- Do not save anything under “My Drive”. Everything Filmhub-related should be saved under the respective Shared Drive folder.
Creating Files
For example, to create a new Google Sheet,
- First, navigate to the Shared folder
- Then, create the file using the
+ New
button
File Sharing
Never Share Individual Files
Creating a file outside a team folder, then sharing it individually with the “Share” or “Create Link” feature is an Anti-Pattern. Follow the processes below to share within Filmhub or to 3rd parties.
Share Within Filmhub
To share a Google Drive file with the team, copy its link and paste into Slack.
Share With 3rd parties
We’re very cautious with sharing files to 3rd parties. It’s hard to manage, track and undo in Google Drive.
If you absolutely must share a file with a 3rd party,
- Have the share approved by @Untitled
- Use a designated shared folder outside the team folders
- Enter the share into: Approved 3rd Party File Shares
